Oaks of Avent Ferry Condominium Association Board of Directors Meeting September 11, 2003 at 6:00 p.m.

Present:  Frank Johnson, Barbara Dodson, Bill Loftin, Bonnie Latham, Brian Browning, and Jeb Black - Management. Absent: John Hertrick

Homeowner's Forum: Laurinda Heppt (4263) and Barbara Jobst (4008) requested resolution to severe erosion of sidewalk at 4008. Board has been working on this problem and already received bids for timbers & gravel to reinforce eroded area and absorb excess runoff ($750 is lowest bid). Heppt/Jobst recommended two asphalt berms down driveway to direct runoff into wooded area. Board tabled current resolution and directed Mgmt to solicit bids for asphalt berm solution.

Executive Session:
Approved Motion made by B Dodson; second by B Loftin to accept August Minutes as corrected. Correct #6 in Management Report: 4108 to 4008.

Management Report:
1.Bush stumps removed by 4012.
2.Management solicited bids for replacing gutters at 4211-19 as Trademark Inc. no longer accepts small jobs. Approved Motion made by B. Latham; second by B. Browning to accept CTI bid of $870 for gutters at 4211-19, plus $$175 to relocate downspout at 4127 to mitigate excess water flow. Total bid: $1,045.
3.Rechecked roofs 4211-19 after roof replaced. No other problems found.
4.Emergency Call Response: Two water lines broke this day- 4247 water line broke next to building; 4233 water line broken on city-side of meter, hopefully. Cost to repair damage will be available at next meeting.
5.Mgmt recommended trimming tree limbs on buildings and remove some small saplings next to buildings during next gutter cleaning in Sept. Est’d cost: approx $500. (2 men approx 8 hrs  @ $35/hr.)  Approved motion made by B. Dodson; second by B. Loftin.

Treasurers Report:
1.Discussed need to tap cash reserves to begin re-hab of 4283-91. Board agreed to use reserves to begin work.

Committee Reports:
Architecture – Approved architectural request at 4213.

Unfinished Business:
1.Finalized plans for Special Homeowners Meeting Oct. 9 at 7:00pm at Lake Johnson.  Association’s Insurance Agent and Attorney will attend to answer questions about amendments to by-laws.
